For this role, our client is in pursuit of a knowledgeable Payout Specialist who will play a vital part in facilitating accounts receivable and providing exceptional customer service to their customers. Primary responsibilities include tracking, organizing, and obtaining endorsement procedures for checks efficiently, ensuring prompt access to funds and collection of fees. This is a full-time position during Eastern Time from 9 AM - 5 PM.

The following Job-related experience is required for potential candidates for this role:

  • Must have at least a year of experience as a Payout Specialist or similar role.
  • Must have professional command of the English language, fluency in the Spanish language is an advantage.
  • Must have excellent customer service, communication, and organizational skills.
  • Must have the ability to take initiative, follow directions, and undergo necessary training.
  • Must have strong problem-solving skills with meticulous attention to detail.
  • Must display a professional, respectful, and confident demeanor.
  • Must be punctual with exceptional attendance and time management abilities.
  • Must be able to work during regular office hours.

Your responsibilities will include but are not limited to the following:

  • Maintain proactive communication with clients via calls, emails, and messages during the check processing period.
  • Set accurate expectations and promptly respond to client inquiries regarding insurance payments.
  • Offer reliable and up-to-date information to address any client concerns or requests for updates.
  • Act diligently to locate checks promptly once notified of their existence, initiating the payout process without delay.
  • Take ownership of the process to have checks reissued by the insurance company in the event of lost or misplaced checks. 
  • Ensure timely follow-up and coordination to guarantee the receipt of issued or reissued checks by the company.
  • Identify the payees listed on each check to determine the appropriate check processing procedures.
  • Send the mortgage authorization and adjuster's report/settlement documents to create claims.
  • Update CRMs with precise and detailed check information.
  • Obtain necessary documents from clients to facilitate smooth check processing.
  • Ensure the timely and accurate preparation of essential documents for clients and mortgage companies.
  • Monitor delivery statuses closely to ensure timely receipt of envelopes by all recipients and take necessary actions in the event of shipping delays.
  • Collaborate with management to identify challenges and gaps in the processes.
  • Other tasks and responsibilities as needed.

Successful candidates for this role will be rewarded with the following benefits and compensation:

  • A total of five paid vacation days per year (additional days can be taken unpaid).
  • A 5% raise per year guaranteed (additional raises or bonuses may be given for outstanding performance).
  • A paid 15-minute break for every 4 hours of work.
  • Compensation range: $3 - 5 per hour.

* Vacation days increase by 1 vacation day per year. I.e. after one year of employment, the total paid vacation days on year 2 would be six, on year 3 seven, etc.
