For this role, we are in search of an organized Events Coordinator & Planner who will be responsible for overseeing the planning, organization, and execution of both online and offline company events. This is a full-time position during Eastern Standard Time with a hybrid setup for on-site and virtual events.

Candidates must also provide a portfolio containing pictures and videos of events they have worked on.

The following Job-related experience is required for potential candidates for this role:

  • Must have at least a year of experience as an Event Coordinator/Planner or similar role.
  • Must have proven experience in planning and executing high-profile events, including both in-person and virtual formats.
  • Must have a strong network of vendor contacts or ability to establish relationships with vendors to secure competitive pricing and high-quality service.
  • Must have hands-on experience as the primary or lead planner for events, with a deep understanding of the end-to-end event planning process.
  • Must be able to proactively identify and address potential issues in event planning and execution.
  • Must have exceptional organizational and multitasking skills, with the ability to manage multiple events simultaneously.
  • Must have strong negotiation skills to secure favorable contracts with vendors and venues.
  • Must have excellent communication and interpersonal skills to coordinate with clients, vendors, and internal teams.
  • Must be able to stay calm and focused under pressure, adapting quickly to last-minute changes or unexpected challenges.
  • Must be proficient with event management software, budgeting tools, and online event platforms.​

Your responsibilities will include but are not limited to the following:

  • Lead the planning, coordination, and execution of high-scale events, including logistics, scheduling, budgeting, and vendor management.
  • Develop and maintain event timelines and checklists to ensure that all milestones are met in a timely manner.
  • Serve as the main point of contact for clients, ensuring their vision and expectations are aligned with event objectives.
  • Coordinate with vendors, including caterers, decorators, and audiovisual teams, to ensure seamless event operations.
  • Manage event budgets, track expenses, and provide financial reporting to ensure adherence to budgetary constraints.
  • Oversee the setup and breakdown of event venues, ensuring all elements are in place and meet quality standards.
  • Execute online event logistics, such as coordinating virtual platforms, managing attendee engagement, and troubleshooting technical issues.
  • Monitor event progress and resolve any issues on-site or online to ensure a smooth and successful experience for all attendees.
  • Gather feedback from clients and attendees post-event to measure success and identify areas for improvement.

Successful candidates for this role will be rewarded with the following benefits and compensation:

  • A total of five paid vacation days per year (additional days can be taken unpaid).
  • A 5% raise per year guaranteed (additional raises or bonuses may be given for outstanding performance).
  • A paid 15-minute break for every 4 hours of work.
  • Fully-paid healthcare benefits after 2 months of full-time work.
  • Compensation range: $2.50 - $5.00 per hour.

* Vacation days increase by 1 vacation day per year. I.e. after one year of employment, the total paid vacation days on year 2 would be six, on year 3 seven, etc.
